Sites

The site administrators are the link to the communities and their input on all aspects of the University program are highly valued. They are urged to facilitate the relationship with the local physicians, and be the welcoming “face” to the learners coming to the community. Ideally, information meetings, promoted by the Faculty, will take place annually, rotating through the affiliated communities. Responsibilities

Please refer to the site administrator job description that is quite comprehensive. It is hoped that the site administrators will help in particularly with the Appointment process, physician remuneration, evaluation of documents, and learner orientation.

Appointment Package

All physicians are encouraged to seek an appointment with the Faculty of Medicine at the University of Ottawa. Please refer to the available Application for Appointment package. Every site administrator is asked to facilitate this task as best as possible with their respective doctors, especially with creating a Curriculum Vitae.

Physician Remuneration and Student Evaluation

Although not connected, these two processes both include forms that need to be completed. Most physicians will be registered with a rural network (e.g., ERMEP, ROMP) and will be remunerated directly from them. However, those with University of Ottawa appointments will receive an extra stipend for teaching students. Please ensure that the Core Preceptor Stipend billling/form is filled out at the end of each rotation and sent to the DME Office at the University for processing.

All students need to be evaluated at the end of their rotation. The evaluation form is sent to the physician directly via the Internet (one45 software) by the student. If the form is not available, or a replacement needed, please contact the DME office before the end of the rotation.

As well, the students fill out two forms, a Clinical Preceptor Evaluation and a DME evaluation form. These are usually sent directly to the students, but can be downloaded here if necessary.

Learner Orientation

Learners will either commute from Ottawa or be housed locally for the month. Besides ensuring that the learners know what to do and where to go when they arrive, the site administrators are asked to ensure the students are well oriented to both the hospital and the community. Some of these learners may find it difficult to be alone in a small community. Although this is not part of the job description, being a “friendly face” to the learner is helpful. Please contact the DME Office should concerns arise about any learner, either of a professional or personal nature.
